Banner Student Frequently Asked Questions

1. Where can I find a list of the equivalent Banner forms to SIS screens?

Unfortunately, there is not a direct map between SIS and BANNER.  Where similarities exist, the BANNER 121 Manual on the training web site does point them out (http://it.bridgew.edu/Banner/Documentation.cfm).

2. How do I view Academic history or transcript data in Banner?

While Banner maintains accurate Student information for fall 2004 (200490), academic history (transcript data) will not be loaded into Banner until later this fall.  Therefore, continue to use SIS to view transcript information prior to fall 2004 (200490).  A message will be posted to Community Announcements to notify users when the transfer of academic history to Banner is complete. After conversion, you can use SHATERM and SHACRSE to look up that information and Students and Faculty members can look up unofficial transcripts via Self-Service.

3. When will academic history be updated in Banner?

While the Banner system maintains accurate Student information for fall 2004 (200490), academic history (transcript data) will not be loaded into Banner until sometime during the spring 2005 semester.

4. Where can I find the Course Reference Number (CRN)?

The CRN or Course Reference Number is listed as the Call Number in the Course Schedule every semester, but if needed you can also look it up in Banner.

  1. Click the magnifying glass or double-click the CRN field (if label is blue) in the key block of the form that requires the CRN.

  2. Click Section Query and SSASECQ displays

  3. Enter details you know about the class (For example: Subj)

  4. List values to see field values if needed (available for fields in blue)
    Double click in field or click once and select Help menu and List to see values
    Double click the appropriate code to return it to SSASECQ

  5. Execute the Query and all courses matching search criteria are displayed

  6. Double Click in term field  to return CRN value of selected course to the calling form

Notice that the key block of the calling form now contains the CRN number and course information selected.

5. How do I print class rosters?

  1. Open SFASLST.

  2. Enter Term and CRN.

  3. Select Next Block.

  4. Click the Help menu and choose Extract Data with Key (to bring the key data into the extract).

  5. Save the file to your computer.

  6. Open the file with Excel and format as needed.

6. How can I view a student’s major from the class roster SFASLST or SFAALST?

To view the major of each student from SFASLST or SFAALST, highlight a particular student then select the Options menu and Detailed Student Information (SGASTDN).  This opens the General Student form and you can look up the major and other Student related information there.

7. How can I print a student’s schedule?

  1. Open SFAREGQ

  2. Enter Term and Person

  3. Select Next Block

  4. Click the Help menu and choose Extract Data with Key (to bring the key data into the extract).

  5. Save the file to your computer

  6. Open the file with Excel and format as needed.

8. How can I view an instructor’s schedule?

  1. Open SIAASGN or SIAASGQ  

  2. Enter Term and Person  

  3. Select Next Block (Use vertical scrollbar to see additional sections)

9. Why does Banner display the class start time as 15:00?

Banner forms use military time.  Although some customized Banner reports have standard time, all Banner forms display time in a military format.  We recommend printing out a reference sheet to show equivalents while adjusting to the format.  Slide 46 of the Banner 121 PowerPoint (http://it.bridgew.edu/Banner/Documentation.cfm) could be used as a reference.

10. How do I input honors?

Use the Additional Student Information (SGASADD) form to input Honors.

  1. Enter person and term  

  2. Select Next Block twice to view Student Attribute  

  3. Double click in the Attribute Field for the List and choose HONR  
    Note that this block is multiple records.    

  4. Add a record/row for your code.  
    Use caution to not overwrite an existing record.  

  5. Click in the Attribute field of the Student Attribute Block and select the Record menu and Insert to create a new record.

  6. Select the Record menu and Next or use the scroll bar to move through the records.

11. Can I search on SSN even though BSC has converted to the new Banner ID?

To comply with privacy laws, access to social security numbers (SSN) is limited to data entry personnel.  However, If the Banner user knows the person’s SSN, they can use the ID and Name Extended Search window to search.

12. How do I extract data from Banner in to Microsoft© Excel?

14. What if I receive “FRM41051 - You Cannot Create Records Here" when extracting data from Banner?

If you receive the error “FRM41051” when using SFAALST, there are two options around it:

  1. You can extract data without the key instead of with the key.

  2. Use SFASLST instead of SFAALST.  (This form contains most of the same data.)

15. What should I do if a hand appears with a yellow star-like balloon at the wrist, and then it quickly disappears when trying to extract data from Banner?

Check to see if you have a pop-up blocker in Internet Explorer on your machine.  If so, you must set your browser to allow pop-ups.  You will need to do this for both Internet Explorer windows that open for Banner.  Even if you allow the pop-ups BEFORE you login to Banner, you will then have to go to the second Internet Explorer window (gray screen) that accompanies the Oracle screen and allow pop-ups there too.  It must be done in both windows.  Another work-around is to hold down the "CTRL" key and click Extract Data at the same time.  Then when the Save or View window comes up, Hold down the "CTRL" key and make your choice.  Once you have done this, please try to extract your data from Banner to Excel following the instructions under the Banner 122 course documents (http://it.bridgew.edu/Banner/Documentation.cfm.).

16. What if I recently upgraded to Windows XP Service Pack 2 (SP2) and I can no longer extract data from Banner?

One of the security improvements included with Service Pack 2 is a new pop-up blocker for Internet Explorer.  There should be an "information bar" under the address bar (Internet Explorer), which allows you to set it to "always allow pop-ups from this Site."   We recommend doing that.  Another work-around is to hold down the "CTRL" key and click Extract Data at the same time.  Then when the Save or View window comes up, Hold down the "CTRL" key and make your choice.  

If you have recently upgraded to SP2 and the extract problem is not related to the pop-up blocker, you will need to change some settings in Internet Explorer:

  • Open Internet Explorer
  • From the Tools menu, select Internet Options
  • Click the Security tab
  • Click the Trusted sites icon
  • Click the Sites button
  • Uncheck the "Require server verification (https:) for all sites in this zone" checkbox
  • In "add this Web site to zone" field, type http://frmserv.bridgew.edu
  • Click Add
  • Click OK
  • Click OK

You may need to exit your browser window and reconnect to BANNER after completing the above changes.
